EXECUTIVE ASSISTANT POSITION DESCRIPTION The Executive Assistant will report to the Executive Director/CEO and be responsible for office over site, human resources, supporting Controller, document archiving and Information Technology support as they relate to the activities. The responsibilities will include, but are not limited to: EXECUTIVE ASSISTANT: • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings • Be responsible for all correspondence between Executive Director/CEO and Board Members • Coordinate and oversee board and committee packet preparation (i.e. agendas and supporting documents) • Board communication skills • Provide support to board members as needed Arrange travel schedule and reservations for personnel and board members as needed • Proof all correspondence before being presented to the Executive Director/CEO • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution • Oversee opening, sort, and distribute incoming correspondence, including faxes and email • Oversee Administrative Assistants • Ensure the office has sufficient supplies • Cleanliness of office • Customer greeting and initial contact for service is at a high quality • Other duties as assigned COMMUNICATION SKILLS: • Know how to give direction to and around properties • Contact with tenants and business on properties • Contact with vendors, interested businesses, government agencies, Depot, Board and visitors • Contact (phone / in person) with interested business tenants PROFICIENT SKILLS: • Advanced proficiency with QuickBooks • Experience in all aspects of accounting and proper financial controls • IT support and troubleshooting experience • Phone skills • Proficient in Microsoft Word, Excel and Outlook • Filing and Public Information Act requirements • Correspondence preparation and distribution • Professional image and approach to customers ACCOUNTING SUPPORT: • Process, deposit and post account receivables • Completing internal control forms for account receivables, utilities and deposit payments • Filing of lease, utility and deposit information • Maintaining business information • Approve flow of vendor billing and payments • Provide support to Controller in administering capital bonds funds, letters of credit and other financial instruments • Manage credit card accounts • Provide support to Controller with interface between depository institutions • Financial integration support between separate companies in QuickBooks (Utilities, general fund, grant funds) • Provide support for grant applications and periodic reporting requirements • Provide support for annual budget and reports. Support audits of same. • Central repository for all contract and financial information • Support the Director of Operations in collections, past due accounts and development and enforcement of loss controls. INFORMATION TECHNOLOGY SUPPORT: • Ensure that corporate LAN, server and PC’s are properly functioning. • Administer cell phone, land line and DSL accounts to ensure low cost, high quality provision of service HUMAN RESOURCES: • Employment and compliance to regulatory concerns; • Employee orientation, development, and training; • Policy development and documentation; • Employee relations; • Company-wide committee facilitation; • Company employee and community communication; • Compensation and benefits administration; • Disbursing tax and benefits payments • Employee safety, welfare, wellness and health; • Employee services and counseling. • Maintaining accurate payroll, benefits and leave Records • Custodian of employee records $25,000-30,000

Duties and Responsibilities • Mastering all training materials provided by management • Following the scripts and guidelines on all inbound and outbound calls • Ensuring that all calls presented/made are answered promptly and professionally (Cheerful through every call.) • Ability to work well under pressure • Must possess strong organizational skills, time management skills and the ability to multi-task • Developing proficiency with all features of the CRM software • Ensuring that all information entered into the software is consistent and accurate • Consistently maintaining daily, weekly and monthly goals which correspond to the objectives of the company and your individual performance • Ensuring that all outbound calls such as, but not limited to; No Show Appointments, X Month No Service, CSI Calls and Sold 1st Service calls are made in a timely and effective manner • Consistently meeting the daily goal of outbound calls that need to be made daily o Current daily goal is set at 200 (This is subject to change.) • Maintaining the essential communication link between the client and dealership • Demonstrating the ability to work closely with others • Maintains strict confidentiality of confidential personal information of our customers in compliance with the Federal Trade Commission Safeguards Rule. • Performs other duties as assigned • Maintaining a professional code of conduct at all times.
